PICNIC IN THE GARDENS
TERMS AND CONDITIONS
All customers purchasing a ticket for admission to “Park and Picnic” or “Paint and Picnic” in the Garden” are subject to accepting the following Terms and Conditions. Please read carefully prior to purchasing any tickets.
BOOKINGS
- All bookings should be made in advance via the Claydon Estate website.
- All attendees must have a valid ticket to be permitted entry. Additional attendees will not be permitted.
- The gardens will be open for access from 12pm-5pm. Last entry is 4pm.
- On arrival, please ring the bell at the garden entrance, a member of staff will come out to meet you and check you in.
- We have several areas that you’ll be able to access: The Kitchen Garden, Woodland Garden, Florence Nightingale Garden and The Pool Garden. Please note that the pool garden is a dedicated quiet zone for over 16’s only.
- Please note that our gardens are typically not open to the public and are maintained for private events. This means they may have a more natural, relaxed feel compared to what you might expect from a traditional estate garden.
- Please note that there are no bins available in the garden, so please take all rubbish home with you.
- Tickets are non-refundable.
- All children must be accompanied by an adult (aged 18 or above).
- No campfires, BBQ’s or ball games are permitted.
- In order that our peaceful gardens can be enjoyed by everybody music is not allowed.
- All personal belongings and property brought into Claydon Estate Walled Gardens by visitors is done so at the owner’s risk. Claydon Estate accepts no liability for any loss or damage to such property during a visit.
- Please note that the public toilets are located in Claydon Courtyard, a short walk from the gardens.
- For those attending the “Park & Picnic” event please note that there will be cars driving within the picnic area.
- No dogs are allowed except for registered service dogs.
- We have a no smoking policy in all areas of our gardens.
- We reserve the right to refuse entry, or to request an attendee to leave the Event.
- For safety reasons, glass bottles are not permitted in the gardens.
CANCELLATIONS AND REFUND POLICY
- We reserve the right to cancel or postpone the event in the case of poor weather. We will contact you at the earliest opportunity to advise of any cancellation, and will reschedule your booking, or provide a full refund.
- All bookings are subject to our cancellation policy. The details of our cancellation policy are as below:
- Should you need to cancel, all cancellations must be made prior to your booking via telephone or email and will be subject to following charges. All phone calls must be made to 01296 730252 and emails sent to [email protected]
- Charges: Cancellations made with more than 14 days’ notice prior to your booking a refund will be issued in full via the initial payment method used for booking.
- Cancellations made between 14 days and 7 days’ notice prior to your booking date will be subject to a 50% charge. With the other 50% refunded to you via the initial payment method used for booking.
- Cancellations made with 7 days or less notice prior to your booking date will be subject to a 100% charge, no refund will be issued.
PHOTOGRAPHY AND VIDEOGRAPHY
- Photography, filming, and audio/video recording may be carried out during the event. By attending the event, you (i) consent to being filmed, recorded and/or photographed and (ii) grant Claydon Estate the right to use your picture, image, voice and sound recording, in any resulting media (printed or electronic) including use on the Claydon Estate website and in social media.
- We will only share photographs of children on our website, social media or promotional materials with prior written consent from parents/carers.
- You are welcome to take photographs for personal, non-commercial use only, including sharing them on social media. “Commercial use” includes, but is not limited to, using photos for advertising, marketing, or promoting a business.
We take all reasonable care to ensure that all images and descriptions on our website are accurate. Whilst every effort has been made to display the appearances, colours, textures and finishes of each piece as precisely as possible, every pearl is unique and, as a natural product, some variations may occur.

We deliver Monday-Friday via Royal Mail Special Delivery within 5 working days of purchase, subject to availability, UK only.

Free Shipping Terms
Shipments are tracked at every stage of transit. Please notify us if your parcel has not been received within 21 days. We cannot be held responsible for goods that are delayed or lost during delivery.
A booking is regarded as provisional until we have received a non-refundable deposit of £10 per adult per booking. This deposit is payable for all bookings of Sunday Lunches and Special Occasion bookings. Once the deposit for your booking is received and you receive your booking confirmation, your booking then becomes subject to our cancellation policy as set out below. Afternoon Teas must be paid for in full when booking online, and are subject to the same cancellation policy.
Final Payment:
Settlement of the final bill and our services will be due on the date of your booking in the Phoenix Kitchen via cash or card. The balance due will be made up of your chosen menu, plus any additional purchases not included with in the chosen menu price. It will be minus the initial deposit paid at the time of booking of £10 per adult. This final balance will be required in full and no partial or part payment will be accepted. Please note that payments by cheques will also not be accepted as a form of payment.
General Terms:
By purchasing a product or service via our digital services, you agree that all information relating to guest numbers, additional information such as allergen and dietary requirements and all other information submitted via our booking form is correct and that you indemnify the Phoenix Kitchen from any miss delivery of service if disputed in relation to information not received by us from you.
Please be aware that despite the best professional practice, our kitchen uses all major allergens and although all due care and attention will be given to accommodate all dietary and allergen requests, we cannot 100% guarantee that our offering will be free of all ingredients.
We ask that you arrive in good time for your booking at your chosen date and time. If for whatever reason you are unable to arrive on time for your booking, you must make every effort to notify us of your delay. If you fail to notify us and/or are greater than 30 minutes from the time initially booked, you will forfeit your table. The Phoenix Kitchen will then conclude you no longer wish to proceed with your booking and you will subsequently lose your booking deposit. If you then arrive after the 30-minute cut off without any prior notification, you are aware that you become subject to regular walk-in customer policy. This means that you may be asked to a wait for a suitable table, and understand that we may no longer be able to provide you with your pre-booked menu and/or offering. The Phoenix Kitchen also reserves the right to keep the initial deposit made by you at the time of your booking and you subsequently acknowledge that the Phoenix Kitchen management hold the right to discretion as to whether you may transfer the deposit to your new bill or services.
You reserved the right to amend the information submitted to us at the initial booking 7 days prior to the date and time of your booking. This excludes cancellations, please refer to our cancellations policy for further guidance. To make any amendments you must contact via telephone 01296 730252 or email [email protected] quoting your booking name or booking reference and detailing any amendments relevant to your booking. Please be aware that additional charges may apply, and you will be notified of any additional charges applicable to your booking at the time of amendment.
Our Advertised menus for our Afternoon Teas or Sunday lunches are for example purposes only and choices and options on the day of your booking may differ from the menu advertised. We will ensure that any deviation from the example menus will be as close to the original as possible. Our Special Occasion menus are designed, costed, and published in advance. Whilst we endeavour to keep our offering as advertised or avoid any alterations to our Special Occasion menu, we reserve the right to make changes at any time to any of our published menus. We will try our utmost to notify you of any changes prior to your visit via the contact information provided by you at your initial booking.

Charges:
- For cancellations made with more than 14 days’ notice prior to your booking, there will be no payment due, and a refund will be issued in full for the deposit paid by you to us via the initial payment method used for booking.

In the unlikely event that we have to cancel your booking for any reason we will contact you via the contact information provided at the time of your initial booking. We will contact you both verbally and in writing and you will be offered either a full refund of any and all money paid via deposit or otherwise. Or alternatively we will work with you to rearrange your booking for a later date.
- Vouchers are valid for 12 months after purchase.
- Gift vouchers are valid at the Phoenix Kitchen, Claydon Courtyard, Claydon Estate.
- Each voucher features a unique reference ID code, may only be redeemed once, may not be exchanged for cash, replaced if lost and is non-transferable or refundable.
- When booking your Afternoon Tea, please enter the unique reference ID code into the ‘Promotional Code’ box.
- The gift voucher must be presented upon arrival when redeeming the experience.
- All bookings are subject to our Terms and Conditions and Cancellation Policy.
- No photocopies will be accepted.
- Advance bookings are necessary and are subject to availability.
- Terms and conditions are subject to change.
- No change or credit can be given if you do not redeem the full value of the voucher.
- Vouchers are not redeemable against daily menus, specials board, events or merchandise.
- Afternoon Tea Menus change throughout the year, and are subject to availability.
- 10% discount is valid on food and soft drinks with the following exclusions:
- Afternoon teas
- Sunday lunches
- Special Occasion menus
- Discount not applicable to alcohol, bottles of Claydon Estate juices or other retail merchandise.
- Voucher must be shown on phone or printed and handed to staff at the Phoenix Kitchen when making your purchase.
- Voucher is valid for all newsletter subscribers and new subscribers on presentation of the voucher.
Voucher is re-usable and can be used on multiple visits to the Phoenix Kitchen. - Cannot be used in conjunction with any other offer or discount.
- Offer is subject to availability.
- No copies will be accepted.
- Voucher has no cash value.
- Management withhold the right to remove or alter offer without notice.
By entering Claydon Estate Facebook, Twitter and Instagram giveaways and competitions, entrants agree to be bound by these rules.
- Claydon Estate LLP reserves the right to cancel or amend the competition rules at any time.
- Competitions are open to all residents of the UK aged 18 years or over, except for employees of the Phoenix Kitchen and Claydon Estate, their families or anyone else associated with this competition.
- There is no entry fee and no purchase necessary to enter a competition.
- To enter, simply follow the relevant entry instructions online at: https://www.facebook.com/claydonestate or https://instagram.com/claydonestate by the date stated.
- Any competition or promotion run by Claydon Estate is in no way sponsored, endorsed or administered by, or associated with, Facebook or any other Social Network.
- Only one entry will be accepted per person. Multiple entries from the same person will be disqualified.
- No responsibility can be accepted for entries not received for whatever reason.
- Prizes are drawn at random from all entrants. Prizes that require a specific answer to a question will be drawn from correct entries.
- Claydon Estates’ decision in respect of all matters to do with the competition will be final and no correspondence will be entered into.
- Prizes are non-transferable and there is no cash alternative. Claydon Estate reserves the right to substitute prizes of equal or greater value at any time. If the potential winner is unable to take the prize, the potential winner shall forfeit any, and all rights to the prize.
- Events may occur that render the competition itself or the awarding of the prize impossible due to reasons beyond the control of Claydon Estate and, accordingly, Claydon Estate may vary or amend the promotion and the entrant agrees that no liability shall attach to the promoter as a result thereof.
- Claydon Estate cannot accept any responsibility for any damage, loss, injury or disappointment suffered by any entrant entering the competition or as a result of accepting any prize.
- The prize winner may be required to participate in reasonable publicity; Claydon Estate reserves the right to use names of winners and/or photographs in the press or online.
